This includes equipment funded by general university funds or specific grants and contracts. Even if equipment is purchased with individual startup funds, through contracts and grants, or on fellowship funds, it is not owned by the individual but by the university, unless the title is explicitly retained by the sponsor. This applies to all items, regardless of their inventorial status, age, working condition, or value.
University-owned IT devices include any IT-related equipment (e.g., computers, laptops, servers, storage devices, or peripherals) that meets any of the following criteria:
1. University-Funded: The device was purchased using funds that flowed through any official university channels, including but not limited to:
• Reimbursements
• Purchase orders
• Purchasing cards (P-cards)
• Direct payments from university accounts
• Any procurement process associated with UC Davis or another UC system entity
2. Grant or Sponsored Research Funded: The device was purchased with funds provided by a grant, contract, or corporate-sponsored research awarded to UC Davis or a university-affiliated research project.
3. Transferred Equipment: The device was transferred into the university’s possession from another organization (e.g., a research institution, university, or corporate partner) under an official agreement, including loan agreements, transfers of assets, or other collaboration mechanisms.
4. Issued by University Departments: Any device that was issued directly by a university department, program, or administrative unit for the purposes of university work, regardless of how the funds for the purchase were sourced.
5. Ownership Retained by University: Any device for which the university retains ownership rights or an interest in, including devices purchased with external funds (e.g., through grants or contracts) where ownership is assigned to the university under the terms of the funding agreement.
6. End-of-Life or Surplus Devices: Any device that was once owned by the university but is still in use by an employee, even if it was designated for surplus or end-of-life, unless officially transferred to the possession of an individual (not department) through AggieSurplus under Supply Chain Management.
