LS File Services
- LS IT offers free online storage space to individuals, labs and administrative staff groups affiliated with the Social Science Departments.
- For individuals (staff, faculty, grad students), LS IT offers 10GB of free space.
- For labs (headed by a faculty PI) and administrative staff clusters (headed by a staff manager) LS IT offers 100GB of free space.
- For other groups, please contact LS IT.
- Additional storage is available at a very low monthly rate of $0.08/GB.
- All data that is stored on LS file services is backed up according to the LS Backup and Data Retention Policy.
- Remote access to LS file services requires using the VPN service for security.
- Between core and rate-based funding, the LS file services are scalable (we can grow with demand) and sustainable (the core funding and rates include equipment maintenance and replacement costs).
- Depending on your needs, Box.com may be a good alternative to LS file services. Box offers unlimited cloud storage and syncing to all UC Davis affiliates. Visit https://ucdavis.box.com/ for more information.
Individual File Shares
LS IT offers 10GB of free online storage space to Social Science Department affiliates (staff, faculty and graduate students). For users of centrally-managed Windows computers, the individual shares are usually automatically mapped as the U: drive. For Macintosh, Linux and non-managed Windows users, please see our help resources for requesting and/or accessing your individual file share.
Individual quotas are automatically enforced, and they will prevent you from storing more than 10GB of data. Additional storage space is available at very low monthly rates.
Lab and Group File Shares
LS IT offers 100GB of free online storage space to Social Science labs and administrative staff groups. For users of centrally-managed Windows computers, lab/group shares are usually automatically mapped as the S: drive. For Macintosh, Linux and non-managed Windows users, please see our help resources for requesting and/or accessing your lab/group file share.
Lab/Group share quotas are automatically enforced, and they will prevent you from storing more than 100 GB of data. Additional storage spaces is available at very low monthly rates.
Storage Rates and Rate Transition Plan
Our rate for storage is $0.08 per gigabyte (GB) per month ($0.96/GB/year). The rates will apply to your current usage, beyond the free quota.
What is included?
LS File Services include online data storage that includes internal redundancy (RAID), automatic replication of all data across two physical servers housed at two different locations, access control through uConnect Active Directory, and regular backups suitable for both disaster recovery backups and archival purposes. The backups include weekly snapshots to tape that are stored off-site (at a separate location from the file and backup servers).
The free service component of the LS file service is funded through the LS IT operating budget, including maintenance, media, licenses and eventual hardware replacement.
The rate-based component of the LS file service provides the ability to scale with customer needs and includes maintenance, media, licenses and eventual hardware replacement for the scaled components.
Frequently Asked Questions
Q: Why is LS IT charging for storage?
A: Purchasing, maintaining, and supporting online storage is expensive. At the same time, only 5% of the users of the service are using more than 70% of this shared resource. By instituting recharge rates, we are asking that the 5% to help cover the costs of their high usage so that we can keep the service free for 95% of users.
Q: I need the amount of online storage that I’m currently using, but I don’t have funds to cover the costs. What should I do?
A: Firstly, we recommend that you challenge the assumption that all of the data needs to be online. More than 90% of the data stored on the LS file servers has not been accessed in the last 6 months. We have published recommendations on how best to archive data at https://socialsciencesit.sf.ucdavis.edu/backup-recommendations-desktops-laptops-and-mobile-devices. Secondly, the DSS Dean's Office can offer limited bridge funding. Please contact the LS IT Service Desk for more information.
Q: What is a quota?
A: Quotas are hard limits on the amount of data that can be stored on a share, meaning that you cannot store more data than your quota amount. If you request to lower your quota, you must first reduce your usage to the new quota amount (e.g., by removing data from the share) before it will go into effect. Quotas are a tool to help you manage your costs: it lets you create a cap on how much storage you can use. That way you can't accidentally run up a huge bill by storing too much data on the LS file servers. You may request a quota increase or decrease online at any time. For group shares, quota change requests must be validated by someone with authority to make financial commitments for the group, such as the PI or lab manager.
Q: What is the difference between a quota and a baseline?
A: The baseline is the amount of storage you get for free (10GB for individual shares, 100GB for group shares). You will be billed based on the amount of data you store on the file servers ABOVE the baseline amount for your share. The quota is a tool to help you manage your costs by setting a hard limit on how much data can be stored in a share.
Q: How was my initial quota determined?
A: For shares that were under the free baselines, quotas were set at the baseline levels. For shares over the free baselines, quotas were set at approximately 10% higher than the current usage. You may request a quota change online.
Q: Why did I receive more than one invoice?
A: We generate one invoice per share. You may have a personal share AND also be the contact for one or more group shares. You will receive one invoice for each share for which you are the contact.
